ACCOUNTS PAYABLE and RECONCILIATION
Audits billings and processes payments
Reconciles General Ledger and Subsidiary Ledger to ensure accuracy in preparation for monthly reporting
Updates and maintains accounting journals, ledgers, and other financial records
Coordinates with concerned employees to implement, apply, and maintain the company’s accounting policies and procedures
Performs other accounting-related tasks as required by the immediate supervisor

Conducts physical inventory audits for stores and warehouses
Generates physical inventory audit reports
Conducts audits for shipment delivery, pick-up, and disposal
Manages and organizes audit documents

MINIMUM QUALIFICATIONS

RESPONSIBILITIES
Understand the work processes, and document the workflows and corresponding procedures of critical work units
Recommend necessary process improvements or workflow changes

Assist in training existing and new employees on processes, health and safety protocols, and quality standards

RESPONSIBILITIES
Maintain and administer the Document Control System in accordance with ISO standards (e.g., ISO 9001, ISO 14001, ISO 45001)
Ensure effective version control, distribution, and accessibility of controlled documents, including SOPs, policies, manuals, forms, and work instructions
Develop, update, and control process maps in collaboration with process owners to ensure alignment with current operations and ISO requirements
Assist departments in documenting and mapping their core and support processes using standard process mapping tools and techniques (e.g., SIPOC, flowcharts, swimlane diagrams)
Review and verify that documented processes accurately reflect actual operations
Support internal and external audits by ensuring documentation is complete, accessible, and audit-ready
Manage the lifecycle of controlled documents, including periodic reviews, revisions, and tracking of obsolescence
Provide training and guidance on document control procedures and process documentation standards
Participate in continuous improvement initiatives to ensure documentation remains aligned with process changes or enhancements
Maintain the confidentiality, integrity, and security of controlled documents and records at all times
MINIMUM QUALIFICATIONS
Must possess a Bachelor’s degree in Business Administration, Quality Management, Industrial Engineering, or a related field
Must have at least 2 years of experience in document control and ISO system management, preferably in the retail industry (e.g., multi-branch retail chains, warehouse stores, franchise models)
Must have proven experience in process mapping and documenting retail business workflows
Must have a strong understanding of ISO standards and quality system implementation in fast-paced commercial or customer-facing environments
Must demonstrate excellent organizational, analytical, and communication skills
Must be able to manage multiple documentation needs across diverse departments and locations
Must be familiar with electronic document management systems (EDMS) and process mapping tools (e.g., Visio, Lucidchart, Draw.io)

Social Media Management: Manage daily operations of multiple social media accounts, including scheduling posts, responding to inquiries, and monitoring engagement across assigned pages
